We are currently representing a well-established and highly respected wealth management practice in the GTA West seeking an accomplished Senior Wealth Management Administrative Assistant to join their team.

Position Overview

This role offers an exceptional opportunity for an experienced professional with a background in wealth management to play a critical role in supporting a client-centric advisory practice. The successful candidate will demonstrate strong organizational capabilities, a comprehensive understanding of wealth management operations, and a commitment to delivering service excellence to high-net-worth clients.

 

Key Responsibilities

  • Provide comprehensive administrative support to the wealth management team, ensuring efficient daily operations and exceptional client service.

  • Maintain accurate and confidential client records, KYC documentation, and compliance files.

  • Coordinate and prepare for client meetings, portfolio reviews, and special events, including scheduling, materials, and follow-up.

  • Draft and format investment reports, account summaries, and presentations to support advisor recommendations.

  • Act as a primary point of contact for client inquiries, delivering timely and professional responses.

  • Liaise with custodians, financial institutions, and external partners to facilitate transactions and resolve issues.

  • Support compliance functions, including audit readiness and regulatory documentation.

  • Contribute to workflow improvements and process optimization within the practice.

Qualifications & Competencies

  • Minimum of 5+ years’ experience in an administrative capacity within a wealth management, investment dealer, or financial advisory environment.

  • Solid understanding of investment products, client onboarding processes, and compliance requirements.

  • Advanced proficiency in Microsoft Office Suite; experience with CRM and portfolio management tools (e.g., Croesus, Salesforce, Morningstar, YCharts) considered an asset.

  • Strong organizational skills with meticulous attention to detail and the ability to manage multiple priorities.

  • Professional verbal and written communication skills, with a demonstrated client-first mindset.

  • Proactive, adaptable, and collaborative, with the ability to work independently in a dynamic environment.

  • Must have access to a personal vehicle for reliable commuting (location not easily accessible by public transit).
