Our client is seeking a Client Experience Manager with a respected private wealth and investment management firm in Peterborough, Ontario.
This role is well suited to an experienced financial services professional who brings professional discretion, responsive communication, and a high level of accuracy to private client service, while supporting detailed requests and contributing to a high-touch wealth management experience.
The successful candidate will play an important role in supporting the client experience, from onboarding and account maintenance through to ongoing service, documentation, meeting coordination, and day-to-day support. This position requires strong organization, confidentiality, responsive communication, and comfort managing details in a regulated financial services environment.
About the Role
The Client Experience Manager will act as a key point of contact for clients and will support the advisory team with client service, account administration, documentation, event coordination, and internal office support.
This is a client-facing wealth operations role rather than a general administrative position. The work requires relevant experience, professional discretion, strong communication skills, follow-through, and comfort working with client information, account documentation, and financial services processes.
The right person will be comfortable working independently, asking thoughtful questions, following through on open items, and helping create a steady, professional, and responsive client experience.
Key Responsibilities
Act as a primary point of contact for clients, responding to inquiries, scheduling meetings, and supporting day-to-day service needs
Support client onboarding, including account opening, account maintenance, transfers, required forms, and follow-up on outstanding documentation
Coordinate with custodians, financial institutions, internal team members, and external partners to help resolve client and account-related matters
Prepare, review, and organize client documents, reports, proposals, and related materials for accuracy and completeness
Maintain accurate client records, files, CRM updates, and internal documentation
Support the advisory and portfolio/operations teams with meeting preparation, follow-up items, client requests, and relationship management
Assist with client events, community initiatives, and other client-facing activities
Support internal office coordination, including premises-related matters, service providers, invoices, and team communication
Help ensure client service and documentation are handled in line with internal policies, privacy expectations, and regulatory requirements
Stay current on industry practices, regulatory changes, and professional development opportunities
Experience and Qualifications
The ideal candidate will bring relevant experience in financial services, wealth management, banking, insurance, investment administration, or another professional services environment where confidentiality, accuracy, and client care are important.
Candidates should bring:
Ideally 3–5+ years of relevant client service, administrative, operations, or advisor-support experience, preferably in financial services, wealth management, banking, insurance, investment administration, or a related professional services environment
Experience supporting client accounts, documentation, onboarding, transfers, or service workflows in a financial services setting
Strong communication skills and the ability to build trust with clients, colleagues, and external partners
Strong organizational skills and the ability to manage multiple priorities with care and consistency
Comfort working with sensitive information and maintaining confidentiality
Strong computer skills, including Microsoft Office, CRM systems, and financial services or account-management software
Familiarity with AML, compliance, client documentation, or regulated account processes would be an asset
Experience supporting private clients, high-net-worth clients, advisors, portfolio managers, or senior professionals would be an asset
Canadian Securities Course, financial services courses, or related industry education would be considered an asset
Post-secondary education in business, finance, administration, or a related field is helpful but not required

Compensation and Work Arrangement

Must be able to attend the Peterborough office as required
Some travel may be required
